Administrative Assistant I – $19.73 – $21.90

GENERAL DEFINITION OF WORK:
Performs responsible skilled administrative work in a variety of assignments within a KUA office. Does related work as required. Work is performed under direct supervision.

TYPICAL TASKS:
Types from rough draft, copy, marginal notes or verbal instruction. Checks and reviews a variety of data for accuracy, completeness and conformance to established standards. Receives visitors and refers to proper authority for disposition. May serve as receptionist. Receives and processes customer inquiries and service requests. Maintains personnel and related records. Opens, sorts and distributes mail. May prepare requisitions and purchase orders. Maintains departmental files. Collects and prepares data for records and reports. Composes routine correspondence from Supervisor’s notes. Operates standard office equipment. May assist Assistant to Vice President as needed. Performs related tasks as required.

GENERAL DEFINITION OF WORK:
Performs responsible skilled administrative duties. Does related work as required. Work is performed under regular supervision. Supervision may be exercised over subordinate clerical personnel.

TYPICAL TASKS:
Prepares, verifies and types a variety of documents which may include memorandums, vendor invoices, purchase requisitions, requests for proposals, bid invitations, contracts, personnel documents and forms, technical, financial and statistical reports, data for publication and other related materials. Reviews and checks records, forms and other documents for accuracy, completeness and conformance with KUA practices and standards. Posts a wide assortment of information into files and records. Collects information from a variety of sources and compiles data for special and periodic reports. Makes appointments, arranges meetings. Prepares routine correspondence. Receives visitors and customers. Appropriately routes visitors, telephone calls and various business communications and correspondence. Responds to or appropriately refers inquiries and service requests. Assists with interpreting departmental and KUA policies and procedures for employees and the public/customers. May maintain personnel and payroll records. Sets up and supervises the maintenance of filing systems. Opens, sorts and distributes mail. Operates a variety of office equipment and machines. Performs related tasks as required. Performs Assistant to Vice President duties in her absence.

KNOWLEDGE, SKILLS AND ABILITIES:
Some knowledge of standard office practices and procedures, equipment and secretarial techniques. Some knowledge of business English, spelling and grammar. Ability to type accurately and at a reasonable rate of speed. Ability to make arithmetical calculations. Ability to meet and interact with the public/customers effectively. Ability to maintain and establish effective working relationships with others. Knowledge and skill in using personal computers, spreadsheet analysis and graphics using Microsoft Office software including but not limited to Outlook, Word, Excel, and Power Point. Ability to follow oral and written instructions. Must maintain a proper level of confidentiality. May be required to lift or displace up to 20 pounds.

KNOWLEDGE, SKILLS AND ABILITIES:
Demonstrated knowledge of standard office practices and procedures, equipment, clerical and administrative techniques. General knowledge of business English, spelling and grammar. Ability to interpret and apply policies and procedures. Ability to make difficult arithmetic calculations and to set up complex forms and statistical tables. Must be able to type accurately at a reasonable rate of speed. Ability to establish and maintain effective working relationships with others. Ability to work independently in the absence of specific instruction. Must be able to meet and interact with the public/customers and employees effectively. Knowledge and skill in using personal computers and Microsoft Office software including but not limited to Outlook, Word, Excel and Power Point. Knowledge of spreadsheet analysis and graphics. Good communication skills. Must maintain a high level of confidentiality. May be required to lift or displace up to 20 pounds.

Education and Experience

Administrative Assistant I – $19.73 – $21.90

EDUCATION AND EXPERIENCE:
High school diploma or GED required, including or supplemented by courses in business administration or some administrative experience. May require possession of valid appropriate driver’s license issued by the State of Florida.

Administrative Assistant II – $22.98 – $25.51

EDUCATION AND EXPERIENCE:
High school diploma or GED required including or supplemented by courses in business administration or considerable administrative experience. May require possession of a valid appropriate driver’s license issued by the State of Florida.
